Who we are, what we do.

April 2020 Plymouth PIE Club CIC (Park-lifers in Exile) was set up by Martin Stephens who manages the Park cafes in Devonport, Victoria and Freedom Fields parks.  This was in direct response to the elderly and vulnerable going into protective self-isolation as a result of the COVID19 Pandemic.  Our community organisation is in the main is volunteer-led, and we provide the following services:

  • Delivery of wholesome meals twice weekly by volunteer drivers.
  • Essential shopping,
  • Delivery of prescription medications,
  • Dog-walking
  • Welfare phone calls.

We are now in need of a Part-time Project Co-ordinator who will be an important part of our small team and organisation. The core role is to ensure all the various activities outlined above run smoothly and efficiently.

SKILL SET required:

Good organisational, admin and communication skills: word, email, databases, excel, phone, good verbal and written. Good team working.  This is a great opportunity to develop your work/admin skills and be part of a team undertaking worthwhile and fulfilling work. You will be a key worker within our organisation, kind, considerate, respectful with good people skills and able to work well with others. We will ensure you are able to work safely.

Education: Previous work experience in administration with appropriate qualifications for this role.

What you will be required to do:

Location: This is office-based at the organisations registered office which is Victoria Park Café, Plymouth. Some meetings may take place at Devonport Park Café, Plymouth.

Days and hours of Work: Monday, Tuesday and Wednesday.  10-3pm , 15 hours per week. (Some flexibility may be required).

Key responsibilities:

We hold a detailed database of service-users and volunteers. Your role will be to assist in updating and maintaining these databases. You will need to record information received via phone calls, emails and direct contact onto our spreadsheets on our secure system. You will be required to liaison and share relevant information with other key team members.

You will be required to make weekly welfare/menu choice calls to our vulnerable pie pals. Meal choices will be recorded onto our meal spreadsheets and communicated to our meal providers.

Assist with communications to our Volunteers for updating our system regarding their availability for such as meal deliveries.

Assisting Pie Team with recruiting volunteers for such as driving meals or supporting our elderly and vulnerable clients.

Registering new volunteers and providing them with appropriate documentation.

Co-ordinating DBS checks and other safeguarding information to volunteers.

Some social media input such as updating FB, Twitter and other Pie Club accounts.

Some input into strategy development.

Assist with maintaining stationary stocks such as printer ink.

Liaison with other team members such as Company Secretary, funding and members of our Management Committee.

Some problem-solving and multi-tasking.

Act as the point of contact and communicate project status to relevant team members.

Maintain Data protection and confidentiality

Make sure that clients’ needs are met as project evolves

Attend weekly team/communication meetings (operational).

DBS may be required.

This role is not exhaustive – you may be called on to support other team members.

Resources: You will have access to a secure office environment, stationary,  laptop, printer, phone & internet, photocopier. Mentor support if required.

Role review: 1 month, 3 months & 6 months.
